Implementing a national program is a process inherently susceptible to challenges. Forethought in determining specific requirements for your organization can considerably ease the entire process, reduce costs, and is a key benefit when you choose IPSA. Below are some general considerations before beginning your RFP process.
If you are implementing an enterprise-wide program for the first time:
Identify all current providers at existing locations. Are they capable of providing enterprise-wide service? Do they have contracts with your locations? If so, when do the contracts expire, or are there out-clauses?
What level of reporting are you looking for?
Will you be looking for a single, consolidated invoice or will each location be billed separately?
What level(s) of control do you need?
Build time in your plan to comply with cancellation notice requirements.
If you currently have an enterprise-wide contract and are seeking other bids at renewal:
Identify any existing issues or concerns and build in requirements to address them.
Add a clause to your RFP, requiring respondents to cooperate with a new provider if they are the incumbent and are not successful.
Require a transition plan in the responses.
